Most buildings hold their maintenance knowledge in one person's memory, a drawer of invoices, or nowhere at all. This service organizes what exists — areas, systems, equipment, warranties and service history — into a clear, customer-owned record, and keeps building it forward from there.

What this is not

Benson is not a SaaS or CMMS vendor, and this is not a live-monitoring or IoT sensor product. Records are documents and photo sets you own, built from what is available and visible — not reconstructed history that cannot be verified.

Dates and descriptions of past service pulled from existing records and added to going forward.

Install dates, manuals, invoices and prior reports attached to the record where they exist — nothing fabricated where they do not.

Questions about building records.

Is this a maintenance software platform?
No. Benson is not a SaaS or CMMS vendor. Records are built and kept as organized documents, spreadsheets and photo sets that you own and can use in any system you choose.
What if we do not know the full history of our equipment?
That is normal and expected. Records are built from whatever is available — nameplates, existing documents, staff knowledge and what can be seen during a walkthrough — and are filled in further over time rather than invented.
Who owns the resulting records?
You do. This is customer-owned building knowledge. The intent is that the record stays useful to the property regardless of who manages, maintains or owns it next.
Does this replace a maintenance plan?
No, but it is often the foundation for one. A clear building and asset record makes planned maintenance, capital planning and vendor coordination far more useful once it exists.

How records are built and kept.

  • Owner-led communication

    You deal with Ryan Benson directly — the same person who walks the building and writes the scope.

  • Agreed work put in writing

    Before work begins, the agreed scope is documented so both sides are working from the same list.

  • Scope changes documented for approval

    If conditions turn out differently, the change is written up and waits on your approval.

  • Photo-supported closeout

    Where it is useful, completed work is documented with photos you can keep with the property file.

  • Regulated work coordinated

    Electrical, plumbing and HVAC portions are coordinated through appropriately licensed and insured trade contractors.
