A Practical Commercial Building Maintenance Checklist for Vermont
Vermont buildings move through very different operating conditions over a single year. A useful maintenance plan should do more than collect random repairs: it should create a repeatable rhythm for looking at the same vulnerable systems, documenting change and deciding what needs attention before the next season.
Start with a building record, not a memory test
Before building a checklist, write down what the property actually contains. At a minimum, identify the major areas of the building, the systems that serve them and the equipment that creates recurring maintenance work. That may include roofing and drainage, exterior walls and sealants, doors and hardware, heating and cooling equipment, domestic hot water, pumps, electrical equipment, lighting, plumbing fixtures, fire/life-safety equipment maintained by specialty vendors, flooring, interior finishes, site drainage and exterior walking surfaces.
The record does not need to be perfect on day one. Capture what is known: equipment name, location, manufacturer, model, serial number, approximate installation date, warranty information, last service date and any existing manuals or invoices. Unknown fields should remain unknown instead of being guessed. Over several maintenance cycles, the record becomes more valuable because each service visit adds history.
Late winter and early spring: find what winter exposed
As snow and ice recede, walk the property with a specific goal: identify conditions that changed during winter. Look at roof drainage from accessible, safe locations; building entrances; exterior sealants; siding and trim; masonry; guardrails and handrails; paved areas; loading zones; curbs; exterior stairs; door thresholds; and areas where meltwater collected. Freeze-thaw cycles and plowing can reveal movement, cracking, loose materials or drainage problems that were less obvious in the fall.
Inside, look for water staining, damaged ceiling materials, musty areas, failed sealants, door alignment changes and finish damage near entrances. Document the exact location with photographs and a short note. A stain with no date or location is a mystery six months later; a dated observation tied to a room or roof area becomes usable history.
Spring: drainage, envelope and cooling-season preparation
Spring is a practical time to confirm that roof drains, gutters, downspouts and site drainage paths are clear where they can be safely accessed. Note damaged splash blocks, disconnected leaders, eroded discharge areas or water being directed toward the building. Inspect accessible exterior penetrations and sealant joints for visible gaps or deterioration. Record rather than casually patching anything whose failure may point to a larger envelope problem.
Cooling equipment should follow the maintenance requirements of its manufacturer and service contractor. From an owner-management perspective, the checklist is simpler: know which equipment serves which area, when it was last serviced, whether filters and other recurring consumables have a schedule, whether prior comfort complaints remain unresolved and whether condensate or drainage concerns have been documented. Licensed HVAC work stays with the appropriate contractor; the owner's job is to make sure the service history and unresolved issues do not disappear.
Summer: exterior work, occupied-space repairs and capital observations
Summer often provides a useful window for exterior maintenance and projects that are difficult in colder conditions. Review paint and coatings, exposed wood, trim, accessible roofing details, exterior doors, weatherstripping, window perimeter sealants, site fencing, pavement markings, exterior lighting condition and walking surfaces. Separate simple maintenance from conditions needing a specialty contractor.
This is also a good time to update capital assumptions. If an older roof, rooftop unit, pavement section or exterior system is visibly declining, record the condition even if replacement is not planned this year. The goal is not to predict an exact failure date. The goal is to prevent a future capital need from appearing in the budget for the first time only after it fails.
Early fall: prepare for heating season and shorter days
Before cold weather, review heating-service records, open comfort issues, thermostats and controls that staff regularly report problems with, exterior door seals, automatic door behavior, loading and service doors, pipe areas with a history of freezing and building spaces where heat distribution has been unreliable. Qualified trade contractors should perform regulated service and combustion-related work. Exterior lighting also becomes easier to evaluate as daylight hours shorten. Walk entrances, parking areas and common paths during actual low-light conditions. Record outages, damaged fixtures and visibility issues. Electrical repair belongs with the appropriate qualified contractor; the inspection task is simply to identify and track the condition.
Late fall and winter: manage recurring exposure
During winter, the best checklist is often shorter and more frequent. Watch entrances for water and salt damage, damaged mats and transitions, door closers and latches, interior humidity or condensation concerns, recurring roof or ceiling leaks, frozen or slow drains, snow-related exterior damage and any equipment that begins accumulating repeated service calls. Keep safe access in mind: a maintenance checklist never justifies unsafe roof access or work outside someone's training.
A monthly building walk should be boring—in a useful way
A recurring walkthrough becomes valuable when it checks the same broad categories each time. Start outside and move through the building in a consistent route. Look at entrances, common areas, restrooms, utility/mechanical spaces that can be safely observed, ceilings, floors, doors, wall protection, lighting condition, visible leaks, odors, damage and housekeeping conditions that could hide a maintenance issue. Capture only meaningful observations; a 150-item checklist nobody reads is less useful than a concise record that leads to decisions.
Turn observations into four decision buckets
Every finding should land somewhere. A practical structure is: address now, schedule soon, plan/budget, or monitor. Add a fifth category—qualified specialist—when the condition requires expertise outside the walkthrough scope. This keeps a minor finish repair from being discussed in the same way as a suspected electrical, structural, fire/life-safety or mechanical-system issue.
For each actionable item, record the area, a short condition description, photographs, priority, who owns the next step and whether it has been converted into a quote, work order or outside-vendor request. When work is completed, close the loop with the date and a short completion record. That is how a checklist becomes building history rather than a stack of old inspection sheets.
What to review annually
Once a year, review the full record rather than only current problems. Which items keep returning? Which assets have incomplete model, serial or service information? Which systems generated the most service activity? Which deferred items are becoming more expensive or disruptive? Which maintenance tasks are purely reactive because no interval has been established? Which larger components should appear in a one-, three- or five-year capital conversation?
The annual review is where maintenance and capital planning meet. A property does not need false precision. It needs enough documented evidence to distinguish known needs, reasonable assumptions and genuine unknowns.

Good building maintenance is not the act of checking every box. It is a management system that notices change, preserves useful information and makes the next action clear. The best checklist for a 5,000-square-foot office will not be identical to the best checklist for a large recreation facility or multifamily property. Build the core rhythm first, then make it property-specific as the building record improves.
